Payroll Specialist A large Matanuska Valley construction company needs an accomplished payroll technician to process automated payrolls and handle its related record keeping activities. This position balances and processes earnings and deduction totals and handles the related general ledger entries. It requires some formal training beyond high school with preference given to those with two years of related college work. It also requires at least three years of responsible payroll experience with five years preferred. FPC or CPP designations will also be given preference. Approved by: New: May 2009 Summary: Performs a wide variety of record keeping and payroll processing activities, including computing wage and overtime payments, calculating and recording payroll deductions, processing requests for paycheck advances, and processing terminations. Essential Functions: • Performs all activities necessary to process 1 or more payrolls, including maintaining related records, filing tax reports and voluntary deduction reports. Compile and submit payroll and tax liability reports and deposits. • As the highest-ranking departmental employee whose primary responsibility is payroll, incumbent is responsible for all payroll and related activities. • Review time sheets, work/project charts, wage computation, and other information in order to detect and reconcile payroll discrepancies. • Record employee information, such as exemptions, transfers, and resignations, in order to maintain and update payroll records. • Balances and processes earnings and deduction totals and calculates and prepares general ledger entries. • Inspects automated system output such as registers and standard reports, determines and corrects out-of-balance conditions, prepares and files tax reports, and gathers payroll data for inclusion in financial statements. Enters data into employee electronic records to keep them current and accurate. • Researches and prepares special reports for management, calculates military and jury duty pay, and processes garnishments and levies. • Prepares accounting transactions and documents as well as documenting and updating procedures. • Process and issue employee paychecks and statements of earnings and deductions. Compute wages and deductions, and enter data into computer. Distribute paychecks • Enter and maintain project payroll information in the accounts receivable module. • Verify attendance, hours worked, and pay adjustments, deductions and post information onto designated records. • Maintain equipment tracking system in conjunction with project based payroll system. Input equipment usage hours from timecards to daily reports. • Issue and record adjustments to pay related to previous errors or retroactive increases. • Assemble payroll documentation in support of financial audit. Conduct weekly payroll audits and generate payroll reporting. Maintain payroll log. • Prepare and file required agency reporting: MSHA, U/I • Create project wage rate sheets for estimates. • Reconcile general ledger and payroll accounts. Other Tasks: • May provide related administrative/ clerical support including filing, answering phones, distributing mail and other support functions. Operates all departmental equipment. • Initiate and enter Personnel Action Form data. • Perform other duties, as assigned. Qualifications: To perform this job successfully, an individual must be able to perform each essential function and preferably can also perform other tasks satisfactorily.
