Summary: This position provides a variety of administrative duties to the NMS Marketing Department. Essential Duties and Responsibilities: • Logs, compiles, organizes, processes, and summarizes many different types of data. Prepares reports, correspondence, complies various statistical reports/graphs to support staff, supervisors, or managers. • Operates or performs such standard office duties such as producing general office written or electronic correspondence, handling a variety of telephone and office equipment, observing proper procedures to handle records or other materials, etc. • Operates in a climate of confidentially requiring discretion. • Assist others with overflow work or special projects. May assist in the preparation of documents affecting the functioning of the assigned area. • May play varying roles in supporting or conducting an area’s ongoing business or staff meetings. • Utilizes specialized computer systems and applications with unique applications being used at the discretion of the department. • Administers company-wide Service Recognition program, utilizing appropriate software programs and materials to produce and distribute employee anniversary recognition program designed and administered by the Marketing Communications Department. • Acts as lead for the company-wide United Way Campaign, working with both administrative departments and operating divisions throughout campaign to solicit contributions from employees. Works with VP Marketing Communications to develop plan for campaign, chairs campaign committee, maintains records of employee contributions and prepares reports at the completion of the campaign as appropriate. • Assists with writing and editing of client proposals and communications; assists with writing and editing of internal communications to NMS business units and employees. • Assists with administering NMS marketing plans and activities. Maintains a consistent corporate image throughout all printed and promotional materials, events and community involvement. • Assists with planning, implementing, and managing NMS marketing and communications budget. Assists in developing and executing marketing programs to support the marketing needs of NMS. Provides electronic input for invoices in Costpoint and maintains supporting documents for accurate budget review. • Assists with planning, implementing, and delivering those basic services and functions provided by a marketing consulting agency. • Consistently demonstrates above average skills in effectively and positively working with others, using all forms of communications, making decisions, and in analyzing and solving problems. • Other marketing and communications duties as may be assigned. Distinguishing Characteristics: This level must be capable of performing at the full performance level and able to handle the vast majority of the complex administrative duties required in a department. Incumbents must be able to prioritize their work assignments. This level requires specialized skills and a significant body of knowledge of the assigned area’s activities. This level works under only general or indirect supervision and requires moderate independent judgement. It also requires the ability to adapt to new work situations and make recommendations for improvements in the assigned work field. Applicant must be able to work evenings and weekends, including Sundays. May be asked to work late or asked to work on short notice. Must be able to speak to groups and be comfortable working with people outside of the department. Must be a self-started and self motivated. THIS POSITION REQUIRES: Associate degree and/or two years of secondary education and at least five years of directly related experience. Must be at the mastery level (80%) in Word, Excel, PowerPoint and Access. Successful applicant will be tested in Word, Excel, PowerPoint and Access, as well as business writing and grammar require proficient to advanced skill level in certain types of computer software or hardware programs. Requires a valid Alaskan driver’s license and a driving record acceptable to NMS insurance carrier. Background position skill ranking areas: Language Skills: 1. Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 2. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Physical Demands: Positions requires employees to regularly sit, reach with hands and arms, talk, hear, and use hands. The employee must occasionally lift and/or move up to 10 pounds. The noise level in the work environment is usually quiet. All incumbents must be able to efficiently operate a keyboard. Requires color vision to properly prepare graphics or other materials.
