Application review will begin on 7/10/09. e-mail: hr@kohtaene.com Phone: 907-334-9255 www.kohtaene.com JOB SUMMARY: Works Corporate Project Manager and the Project/Site Managers to ensure completion of timely contract reporting requirements; change order preparation; submittals; subcontract pay requests, payments, and lien waivers; Operations and Maintenance Manuals production; and final close-out documents. ESSENTIAL FUNCTIONS: • Assists with pre-award acquisition planning and documentation • Assists with soliciting, planning, negotiating, administration and close out of new contracts • Provides administrative support on contracts while developing technical expertise • Prepares new contract binders after each new award and maintains and updates accordingly to include subcontract information • Assists with preparing billings for contracts • Processes contracts through required approval processes; resolves issues as needed • Assists Project/Site Managers in the preparation of post-award contract documents, change orders, submittals, payment requests, and other documentation from award to close-out • Administers contracts by tracking deadlines, performance, and other legal requirements of the contract • Participate in start-up meetings for each project, contribute to establishment and maintenance of time and events schedules, and provide weekly updates on each initiative to Corporate Project Manager/Estimator. Makes presentations, as needed • Contribute to progress of multidisciplinary project teams to ensure within-budget, on-time, on-strategy performance • Updates, tracks, and ensures accuracy of a variety of electronic and paper files, records, reports, and related contract and legal documents. Examples include: o Subcontract log o Contract filing system index o Accurate tracking and timely submission of all awarded contract documents and modifications for all binders o Log with contract and modification numbers, dates, and amounts • Establishes and maintains an active network of professional contacts • Performs other duties as assigned CORE COMPETENCIES: • Analytical – The individual synthesizes complex or diverse information • Delegation – The individual delegates work assignments, gives authority to work independently, sets expectations and monitors delegated activities • Judgment – The individual displays willingness to make decisions, exhibits sound and accurate judgment and makes timely decisions.
