Title: Mission Program Assistant/Receptionist
Reports to: Director of Community Programs / Executive Director
Classification: Full time, non-exempt
Function: Administrative support for Affiliate office and mission programs
Job Description:
1. Phone Duties under supervision of Executive Director: Responsible for compassionate, responsive phone communications with a diverse group of people urgently seeking breast health information
- Answers main phone line in English and coordinates Spanish speaking inquiries with Spanish speaking staff
- Serves as the office receptionist and greets and answers questions for all visitors
2. Mission support under supervision of Director of Community Programs: Includes interaction by phone and in person with diverse populations related to mission projects and events
- Supports the logistics for mission events (currently includes Issues Conference, Community Partner Luncheon, Grant Training, Peer Review selection and processing of grant applications)
- Coordinates the process for the copy/content of printed mission materials (brochures, programs, applications, contracts, invitations, Save –the- Date cards, response cards, etc.) including feedback and revisions from Supervisor
- Inventories and coordinates mission related sign/banner quotes/requests and their production
- Support Committee Meetings (logistics, ordering food, taking minutes and distributing packets)
- Works with Office Volunteers to accomplish projects as requested
3. Office Support under the supervision of the Executive Director
- Processes incoming and outgoing mail on a daily basis
- Assists with special mailings to community partners and donors
- Maintains Office Supplies (inventorying and ordering)
- Maintains educational supplies and materials
- Maintains Office/kitchen/supply room
- Maintains copier, fax and postage machines
- Organizes storage maintenance
- Performs other duties as assigned to support program managers and staff
- Backup gift processing support as needed: Batches, commits and acknowledges gifts and sponsorships
4. Special Projects as assigned.
Skills:
• Compassionate, sensitive phone skills with diverse populations that may include women with immediate breast health needs, women from a variety of cultural and economic backgrounds or special needs.
• Excellent organizational skills with ability to multitask and prioritize with competing deadlines.
• Excellent English-language written and verbal skills.
• Ability to work collaboratively as part of a team.
• Proficient computer skills: specific high level knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Outlook). Raiser’s Edge and Convio also desirable.
• Spanish-language skills are desirable, but not required.
Qualifications:
• A minimum of three years of previous administrative office experience; non-profit a plus.
• Ability to lift boxes over 40 pounds.
• Ability to stand or walk for extended periods of time at events and as needed.
