Position Summary Primarily responsible for monitoring and maintaining accurate records of and accounting for all leases (as lessor and lessee), including timeliness and accuracy of related revenue and expenses, and providing support for the companies leasing activities, including creating and maintaining the lease database, maintaining and organizing the lease documentation files, and performing leasing related financial analysis. Responsibilities shall also include providing financial management support in the form of budgeting, variance analysis, forecasting, performance reporting and other functions as directed by the Chief Financial Officer or Properties Leasing Manager. The position will also ensure the proper establishment and maintenance of internal control systems in accordance with companies policies and SOX requirements, and ensure compliance with generally accepted accounting principles. Job Responsibilities • Ensure the accuracy and completeness over the lease accounting (excluding the physical billing, payment and collection as required for proper segregation of duties) for operations as lessor and lessee. Includes all properties owned or leased by company. o Manage and support the accounting and certification functions for all leasing-related activities handled by the Properties Division o Ensure accurate calculation of and accounting for all owned property related expenses and accounts payable. o Ensure accurate, complete and timely lease rent payments to lessors and billings and collections from lessees. o Ensure accurate calculation of and accounting for all rental-related income and accounts receivable and all rental-related expenses and accounts payable for the leases. o Maintain accurate and complete records of real property taxes and assessments, insurance policies and other items related to owned or leased properties. Process related invoices for payment. o Ensure complete and accurate accounting for common area maintenance.. o Review periodic or annual computations for accuracy. o Prepare periodic and annual expense reports and reconciliation. o Monitor, forecast and audit expenses. o Ensure compliance with generally accepted accounting principles. • Establish, document and maintain appropriate internal control systems which encompass the segregation of duties, in accordance with policies, and SOX requirements. • Provide support for the Properties Leasing Manager with respect to leasing operations. • Develop and maintain a complete and accurate lease database to ensure the proper and efficient operation of the Properties Division. o Maintain a tickler file and coordinate with the Leasing Manager to ensure the timely action on lease step-ups, expirations, renewals, abatements, and other related lease options. o Monitor and notify the Leasing Manager of any delinquent lease payments or receivables. • Create and maintain a uniform lease filing system, by utilizing a standardized checklist to ensure the proper organization of the lease files accurately and completely, containing all lease agreements, amendments, memos, correspondence and other pertinent documentation. • Perform monthly analysis and investigation of income and expenses for the related Properties GL centers to ensure proper revenue and expense recognition. • Develop and prepare monthly key performance indicator reports for leasing activities and Properties Division. • Prepare financial, management and other reports, to include: o Reports on the financial impact of leasing proposals, purchase opportunities, and other properties related projects. o Annual budgetary reports, regarding budget variance analysis for rental income and occupancy expenses. o Property and automobile insurance reports. o Assist with the ancillary accounting functions for owned properties. o Assist with the inventory of fixed assets and artwork including the write-off of obsolete items. o Assist in the tracking and reporting of construction in progress projects. • Customer service for internal and external customers • Internal customer requests from all areas of the company • External customer request from auditors, affiliate companies, tenants, landlords, vendors, etc. Required Experience • Bachelors Degree Business, Finance or related area • Min of 2-3 years experience performing financial analysis, business analysis or equivalent • PC proficiency with Microsoft Office • Frequent contact with personnel at all levels • Frequent contact with external vendors, tenants, landlords, etc. . . • Application and database knowledge with ability to adapt to operations • Effective verbal, written and interpersonal communication skills • Ability to work effectively in a team or group environment • Strong organizational and time management skills with ability to prioritize work • Accuracy and attention to detail, flexibility and the ability to work under pressure • Able to handle confidential matters judiciously • Able to adapt to or learn operational, PC or application functions • Able to effectively manage others in order to complete any given task Location: Honolulu, Hawaii Compensation: Commensurate with experience Principals only.
