This position with United Way of Treasure Valley primarily concentrates on the input, integrity and maintenance of donor data from a variety of sources. Work involves entering, verifying, researching, coding, correcting or retrieving information from source documents and/or computer systems with a high level of accuracy. The position interacts with all departments of the organization.
Duties:
Primary point of contact for all database functions:
Run reports and queries for mailings/invitations, etc.
Responsible for completion of all donor data entry and updates
Handle all imports and exports of data, to include interfacing with contracted pledge processing service providers
Assist with or perform mail, e-mail, and fax merges
Create Groups and update for mailings and meetings invitations
Coordinate and assist with implementation of new Andar modules or enhancements as needed
General understanding of other organizational processes that have the ability to impact data integrity and donor relations such as audits, coding, payments, and receipts
Manage database software maintenance:
Act as primary contact with Andar software provider
Coordinate communications with Andar helpdesk and IT service provider to troubleshoot any technical issues for users in the organization
Work with Andar to maintain recommend upgrades, fixes, plug-ins, etc.
Keep up with news and trends in Andar database technology and developments
Oversight of data integrity:
General data maintenance, insuring consistency and integrity based on data standards
Develop exception reports to ensure accuracy of all constituent information updates
Receive all returned mail and enter or distribute for entry and update as appropriate
Run queries to scan data for duplicates and manually delete or merge duplicated records as appropriate
Develop routine data update strategy incorporating research options
Be familiar with other online sources for gathering information on personnel changes in government, business etc.
Institute calendar for regular end-user updates and training:
Assign appropriate access rights and ensure proper training for all users
Support users and troubleshoot problems
Update internal policy and procedural documents as needed to reflect changes in organization information operations
Hold periodic meetings with users
Anticipated Future Responsibilities:
Improve and enhance data:
Identify needs for information across functional areas within the organization
Identify sources of information across functional areas within the organization
Identify third party sources of information to improve and enhance data
Prospect Management:
Assist with planning and implementation of prospect management research procedures
Learn current industry standard processes for prospect identification, cultivation (moves management) and tracking
Research and identify best methods for prospect stewardship and donor relations
Provide both proactive and reactive research on current and prospective donors in all areas including individual, corporate, foundation and government
Minimum Requirements:
Associate or bachelors degree or equivalent work experience
Preference given for familiarity with relational software program and experience in nonprofit development with knowledge of basic fundraising concepts and prospect management
Proficiency in Microsoft Word, Excel, relational data management and basic computer skills
Must be detail-oriented and able to prioritize work flow
Ability to work independently with little supervision
Ability to maintain confidential and sensitive information
Excellent interpersonal skills and ability to work as part of a team
