RESPONSIBILITIES:
Under limited supervision, oversees and coordinates all property management, maintenance, and construction activities associated with large housing communities. Schedules and coordinates facilities usage for a range of business activities.
ESSENTIAL JOB FUNCTIONS:
1. Oversees activities of contractors, vendor personnel, and suppliers; monitors contracts for compliance and controls costs; monitors general expenditures of unit; performs quality control inspections to ensure adherence to contract specifications and industry standards.
2. Interacts with, coordinates, and serves as liaison between architects, general contractors and vendors during new facilities construction and post-construction activities.
3. Maintains compliance with departmental security, audit procedures
4. Attends and directs quarterly and annual meetings
5. Closely interacts with board of directors, homeowners, accounting and management
6. Performs property inspections
7. Prepares violation notices
8. Creates and distributes welcome packages
9. Prepares quarterly newsletters
10. Works with onsite sales agents, developers, builders and subcontractors to properly manage and maintain communities.
11. Prepares quarterly and year end financial statements
12. Works with accountants, lenders, title companies and legal council.
13. Performs miscellaneous job-related duties as assigned.
MINIMUM JOB REQUIREMENTS:
High School Diploma; at least 1 year of experience that is directly related to the duties and responsibilities specified.
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
• Skill in organizing resources and establishing priorities.
• Knowledge of contracting process and associated local, state, federal, and other regulations.
• Project planning skills.
• Ability to analyze and interpret the needs of customers and offer appropriate solutions.
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
• Knowledge of property management principles, procedures, and standards, as applied to public facilities.
• Ability to analyze and interpret financial data and prepare financial reports, statements and/or projections.
• Ability to develop bid specifications and evaluate bids from contractors.
• Knowledge of contract documents and specifications.
• Ability to communicate effectively, both orally and in writing.
• Ability to develop and maintain recordkeeping systems and procedures.
• Ability to coordinate quality assurance programs in area of specialty.
• Skill in the use of computers, preferably in a PC, Windows-based operating environment.
• Ability to coordinate and/or supervise independent contractors.
• Ability to multi-task in a fast paced environment
• Ability to direct both small and large meetings in a public forum.
WORKING CONDITIONS AND PHYSICAL EFFORT:
• Work is normally performed in a typical interior/office work environment
• Some travel involved when performing inspections and attending meetings
• No or very limited exposure to physical risk
HOURS:
Work week is Monday-Friday 8 am to 5 pm with some evening meetings. Will also be emergency on call person on weekends and evenings.
COMPENSATION:
Depends upon experience.
