The Devereux Foundation is the largest nonprofit provider of behavioral healthcare in the country for individuals with developmental/intellectual disabilities, behavioral challenges and mental illness. Devereux has 15 centers operating in 11 states across the nation. We have been around since 1912 and employ close to 6,000 staff members at all levels that provide professional and quality care to more than 15,000 individuals annually. ORGANIZATION PROFILE Established in 1912, the Whitlock Center was the site of our founder, Helena T. Devereux's first residential school for children with emotional, behavioral and developmental disabilities. Today, the Whitlock Center serves over 300 individuals on our campus in Berwyn and in homes and apartment settings located throughout Chester and Delaware Counties. The Whitlock Center provides an array of programs for adults with mental, intellectual and developmental disabilities, traumatic brain injury, psychiatric disorders, autism, and dual diagnoses (mental disabilities with mental illness) and mental health disorders. Services include vocational training and employment, job coaching and job placement assistance, residential services and supports and respite care. The Whitlock Center offers individuals a continuum of care services from transitional living apartments to semi-independent living programs to programs that provide more structure and supports for challenging behaviors. The Center also has a health services facility for individuals who require 24-hour nursing care. Programs Campus-based Residential LivingThe Hankin Health Services Center is a 32-bed residential health center. Nursing care is provided 24-hours per day for individuals with complex medical conditions. Other cottages and houses on campus provide specialized residential treatment services to males and females. Community-based Residential LivingIndividuals in the Transitional Living Apartment Program reside in homes and apartments located in Chester and Delaware counties. These residences are for individuals requiring minimal assistance in performing daily activities such as personal hygiene, laundry, safety, shopping, medication administration, and meal preparation. Other adults may live in group homes located in communities throughout Chester and Delaware counties. The goal of the program is to challenge each person to achieve his or her greatest degree of independence via life-skill instruction including housekeeping, budgeting, self-care, shopping, and cooking. Transportation is provided to daily vocational programming or work. Recreational, religious, shopping and entertainment activities are also offered. Respite ServicesThe Whitlock Center provides respite care for families and companions caring for individuals, ages 21 and older, with special needs. Short and long-term respite care is available on our campus or in the care recipient's home. JOB SUMMARY: Provides administrative support to Center personnel including composition, preparation, and distribution of routine correspondence and file and database management. Operates multi-line telephone at Center administration office and coordinates meeting room schedules. Greets, registers, and directs visitors and callers to the appropriate parties. Establishes systems to direct the flow of information to appropriate areas. Ensures that functions are performed with efficiency, confidentiality, and responsiveness. REPORTS TO: Executive Assistant to Center Executive Director PROFESSIONAL SKILLS: 1.Customer Service: Functions as Receptionist for the Center, operating multi-line telephone at center administration office. Coordinates meeting room schedules. Greets visitors in a courteous and professional manner; registers and directs visitors, callers, mail/packages to the appropriate parties; records messages and informs appropriate individuals. Performs a variety of tasks to develop, maintain, and manage data. Adheres to the operation of systems to achieve, monitor, and maintain efficiencies, ensuring continuous flow of information to appropriate parties. Provides administrative assistance to the Administrative offices. Understands and demonstrates an ability to use time in an efficient and effective manner. Collaborates and communicates with co-workers efficiency, and enhance team's time management. Is aware of, and consistently meets established deadlines. Identifies and prioritizes multiple tasks to assure timely completion of projects and assigned tasks. Communicates progress regarding completion of timelines/deadlines with co-workers, supervisors, and internal and external customers. Recommends and implements strategies to enhance time management. 2. Data Management: Participates in the data collection process, as needed. Manages filing systems. Enters, evaluates, and/or audits data. Works to improve operational, functional, and technical systems. Assures implementation of formal systems and procedures to improve quality of system information. Provides administrative services in such a manner that they tend to quality issues, efficiency, cost-effectiveness, outcomes, confidentiality, the implementation of best practices, and innovative methods of services delivery. 3. Regulatory/Compliance: Demonstrates the skills, knowledge, and abilities in the areas of regulatory compliance and adherence to professional standards. Assists in establishing department procedures to ensure compliance with Devereux policies and standards and external regulatory agencies. Works collaboratively with internal and external customers to ensure compliance with Devereux policies, procedures and external regulatory requirements. Assure confidentiality and security of all data, adhering to all HIPAA laws and requirements. EDUCATION REQUIREMENT: High school diploma or GED required. Associates degree and two (2) years specialized administrative support training, preferred. EXPERIENCE REQUIREMENT: Previous experience providing administrative support and/or reception services. Excellent oral and written communication and customer service skills. Ability to effectively interact with all levels of the organization. Sound decision making and problem solving skills. Proficiency in the use of Microsoft Word, Excel, Database, and PowerPoint. Ability to independently follow up, as required. Must be able to adapt and change activities quickly. Must possess professional demeanor and judgment. Will function as a member of the center administrative support team, contributing to an overall atmosphere of cooperation. Must possess and maintain valid driver's license, and be at least 21 years of age.
