POSITION SUMMARY: This recruitment requires applicants to be biliingual (English/Spanish). Responsible for providing effective administrative functions for the assigned program in the areas of word processing, data entry, general clerical tasks, etc.. Performs complex and confidential functions to ensure dept. operations flow smoothly. Compile information and generate reports. Develop and implement program related office systems. Requires excellent organization of time and projects to complete multiple tasking requirements. Work is conducted in a cooperative and collaborating manner. ESSENTIAL DUTIES AND RESPONSIBILITIES: • Provide accurate and effective administrative support to staff in a variety of ways (i.e.word processing, spreadsheets, general clerical tasks, graphs, presentations, and translation if applicable). Types, edits, proofs and coordinates the preparation and distribution of written materials (i.e. financial reports). • Establish and maintain systems for work flow schedules and standards (photo copy production, in/out mail, phone response, etc.) • Provide back up to receptionists . • Perform data entry and data base management in a variety of databases. • Responsible for maintaining office equipment. • Responsible for ordering, inventory & distribution of office supplies (includes coffee) for the Agency. • Maintain administrative files for Admin. • Answer and route phone calls as necessary • Perform any other duties as assigned by management. QUALIFICATIONS: Min.Required: • Combination experience and/or education equivalent to 14 yrs. of schooling • Min. 5 yrs secretarial or administrative exp. • Demonstrate intermediate level of proficiency in data bases, spread sheets, word processing, power point, charting, etc.. • Verbal and written communication skills equivalent to 14 yrs. of schooling. Preferred: • Bi-lingual, Spanish-English; ability to translate written materials from English into Spanish. • Experience with and/or knowledge of social service systems. • Exp. with basic accounting procedures POSITIONS SUPERVISED: N/A – Will oversee daily production work & training of others WORKING CONDITIONS: • Most work is conducted in an office environment with moderate to extensive phone use. • Extensive use of video terminal and keyboarding. • In normal work day, may stand/walk 3 hrs. per day; may sit 4 hrs/day; may drive 2 hrs./week; may use hands for repetitive grasping, pushing & pulling, fine manipulation 1 hrs. per day; may use hands at or above shoulder for 1 hrs per day; • In normal work day may bend, squat, climb frequently; • Work is light in nature, lifting 20 lbs. Max with frequent lifting and/or carrying of objects weighing up to 20 lbs. May require walking or standing to a significant degree, or sitting most of the time with a degree of pushing & pulling of arm and/or leg controls.
